Sometimes instructors will want to create a video and allow another user to use or view that video. Here are the ways to do that:

  1. Share the link to the video or folder.
  2. Share the video or folder within Yuja.
  3. Transfer ownership of individual videos.

Share the link to the video or folder

This option lets the receiving user (instructor or student) view the video after clicking the link. The viewer does not have any permissions over the video and cannot see any instructional information or analytics for the video.

This option is best for sending videos to students.

Folders can also be shared this way and the viewer will see the videos within the folder as a playlist. It is NOT recommended to share folders that contain sub-folders in this manner. Since the sub-folders do not appear in the playlist (but their videos do), it removes the ability to control the order of the videos.

Here is the process for sharing via direct links or embed codes.

Share the video or folder within Yuja

This option gives the receiving user (preferably instructors only) the ability to see the video in their "Shared with Me" section of Yuja. It also allows the receiving user a certain amount of control over the video. The amount of control is determined by the sharing user when adding the receiving user to the video.

The permission levels to choose from are:

  • Full Access: Allow the user to access, make changes, and delete the media (as if they were the owner).
  • Edit Access: Allow the user to access and make changes to the media but not delete it.
  • Edit Caption Access: Allow the user to edit the captions and make changes to the media in the Yuja Media Editor.
  • Read Only: Allow the user to access and view the media but make no changes.

For shared folders, unlike with the above option, viewers of shared folders will see the videos and sub-folders in a file view (the same as the creator of the video/folder) instead of the playlist view. Also, permissions that are granted to the folder extend to all videos in that folder.

Here is the process for sharing via the Share menu.

You can also remove access to videos/folders shared in this manner. Here is how to do that

Transfer ownership of the video

If you created a video and want to pass that along to another user, you can transfer ownership of that video to them. This might be done because the original creator is changing roles, teaching assignments, or positions and they want to make it easier for their replacement to continue to use the same videos. This process removes the video from the creator's media library and transfers it to whomever they change the ownership to. It is not irrevocable since ownership can be transferred back but, while the other user has ownership, they can perform any edits or actions to the video as though they created it themselves. To inquire about this option, please reach out to Blake Ide. It has to be done per video and so if more than a handful of videos need to be transferred then the original creator should schedule a meeting with him to identify and change the ownership of the requested videos.
